We offer couples several ceremony locations on site. Say “I do” in the ocean air under the grand arch overlooking Salem Harbor. Our outdoor wedding venue, the Ceremony Green, is on Pickering Wharf can host up to 220 guests with white garden chairs. Or tie the knot in an elegant indoor ceremony in one of our ballrooms. We’ll handle all the details, from flowers to sound equipment, that will transform the space into your vision for the big day.
Couples can select from an exceptional variety of top reception dining packages for plated, stations, or buffet-style meals. Our world-class chef provides couples with a superb assortment of fresh and seasonal hors d’oeuvres, salads, entrées, and desserts from which to select. How do I book the space and make my wedding definite?
The Salem Waterfront Hotel & Suites will confirm all space requirements for your wedding ceremony and reception upon receipt of your signed contract, initial deposit and credit card authorization form. A fully executed copy of your contract with confirmed information will be returned to you via email after the deposit has been applied.
How much is the deposit?
$1,000 must be sent with the signed contract. This deposit is non-refundable.
How far in advance do we need to book our wedding?
As soon as you decide on a date for your wedding, please let us know and we can check the availability for that date. If the specific date you are looking for is not available, we will provide other options. The sooner you book your wedding, the more likely we will have that date available.
Can we get married on site?
The Salem Waterfront Hotel & Suites offers are variety of spaces to host your ceremony on the hotel property. Please note that hosting your ceremony on site will have a ceremony fee associated with it.
Indoor Ceremonies: You may choose to host your ceremony inside on one side of our ballroom or in our Compass Room. Please note that we will decide which room is available for your ceremony, depending on the number of guests you will have in attendance.
Outside Ceremonies: We are currently offering an outside ceremony option. The space is located between Finz and Sea Level Oyster Bar overlooking Salem Harbor. If you choose to host an outdoor ceremony, please note that a formal decision on any weather issues will need to be made by 72 hours prior to the ceremony start time. After the decision has been made, it cannot be reversed.
Are there any restrictions on music for the wedding?
Yes, all music must conclude by 11:30pm.
Are we allowed to have a band?
Yes, please note that the band needs to be 7 pieces or less. The hotel will not be held liable for any power issues generated from over usage.
Can we have candles or open flames on the tables?
Yes, but no more than 4 flames are allowed per table. Candles may not be suspended in air. Battery operated candles are the preferred selection.
How early can I set up?
Two hours will automatically be set aside prior to event start time for set up. It will be your responsibility to advise your contracted providers, such as florists, DJs, bands and cake providers, of the timeframe allowed for set up.
What should I know about decorations?
Flowers and large rental items may be delivered to the hotel on the day of your function. Smaller items, such as place cards and favors, will be dropped off to the hotel on the day prior to the wedding. Please speak to your wedding manager to schedule an appropriate time to drop these items off. You may not use glitter or confetti in the decoration of the functions space. A clean up fee of $250 will be assessed if group uses either product. Nothing creating holes or markings may be attached to the walls or ceiling of the function space. All decorations and personal items must be removed immediately at the conclusion of your event. The Salem Waterfront Hotel and its staff will not be responsible for any items left behind.
Where should my guests park?
For guests that are staying overnight, there are designated parking spots in the main hotel parking lot in front of the hotel. For guests that are not staying overnight, there is an event parking lot on Congress Street (Pickering Wharf Marina Lot).
Is there someone on site that will be there to assist me and my guests?
In holding your wedding at the Salem Waterfront Hotel and Suites, you have access to full Wedding Manager Assistance. This includes contracting and billing management, vendor rental assistance (through SWH chosen vendors), guest room accommodations assistance, detailed wedding agendas and wedding day of coordination. Wedding day set-up will be coordinated by the wedding manager and staff. Decorations (to an extent) will also be set up as outlined with the wedding couple by the wedding manager. In the event that the Wedding Manager cannot be present for the day of the event, the hotel will assign another employee that will assist with the day of events.
Do you know a good officiant, photographer, DJ, bakery or florist?
Yes, the Salem Waterfront Hotel works well with many of the area’s best vendors. Please ask your Wedding Manager for the list of vendors we work with most frequently.
Can we do a rehearsal for the wedding ceremony?
Yes, the Salem Waterfront Hotel will provide a time that does not conflict with other booked events. We will confirm the time and date no earlier than 45 days prior to the wedding. We cannot guarantee that the rehearsal will be in the same space as your wedding ceremony.
May we take advantage of the various photo opportunities on the hotel property and Pickering Wharf areas?
Please do! We have a large variety of spaces outside of the hotel all within walking distance. Be sure to have your photographer “scout” the area a few days prior to the wedding to check the conditions.
Can the front desk distribute my gift bags to guests?
Yes. We provide two options to make the gift bags available to your guests. The first option would be to pass them out to your guests at they check in at the desk. The second option is to have the bags placed in the guest rooms prior to check in. This will cost an additional $2.00 per bag. Please note that no liquor or tobacco products may be given out in the gift bags.
Do you provide a coat check service?
We provide complimentary coat racks that will be placed in the function room for your guests to use. If you would like to set up a coat check service, a fee of $350 will be applied to your final bill.
How long do I have the reception space for?
A maximum of 5 hours is allotted for each wedding reception. Your event will need to conclude by 11:30pm.
What linen is provided?
Your wedding package includes table linens and napkins for your wedding. Linen length and color will depend on the package that you selected. Please speak to your Wedding Manager about the different upgrades that are available.
How may I pay deposits?
You may make deposit payments by mailing in a personal or bank check or providing a credit card using our credit card authorization form You may also bring cash into the hotel. Please let your Wedding Manager know before you come in as only he/she may process these payments.
Are gratuities included or required?
Gratuities are not included with your pricing. If you would like to provide a tip for the staff, you are welcome to, but please keep in mind that it is not required.
Is there a clean up fee?
No.
May we bring in our own food or alcohol?
The Salem Waterfront Hotel and Marina will provide excellent catering and bar service. No outside catering except for the wedding cake is allowed.
What if we have children or guests with dietary restrictions at the wedding?
Please let your Wedding Manager know if you have any guests that are under the age of 12 or have allergies dietary restrictions. Separate meals charges may apply.
Do we pay for our vendors to eat dinner?
It is customary that you would provide dinner for the vendors that are working your wedding. We will provide dinner for them at $19.95 per vendor.
Is there a group discount available to my guests?
Yes, with a guaranteed block of a minimum of 10 rooms. Guest room discounts will be negotiated with your Wedding Manager. A two-night minimum may apply to these rooms. All information regarding guest rooms will be outlined in your wedding contract in further detail. In general, contracted wedding couples can expect a 10-20% discount on prevailing hotel selling rates for guest rooms. Hotel selling rates are subject to change without notices. Your guests will want to call in as soon as possible to take advantage of the best rates available and to make sure they have accommodations secured. Weekend guest room accommodations are in very high demand during the summer months and October.
How many guest rooms do I have to guarantee to block them out?
We will block out the requested number of rooms, however please be aware that 80% of these rooms must be reserved. If group does not fill the 80% requirement, the house account will be applied any shortage charges.
How do my guests make their guest room reservations?
Your Wedding Party guests will be responsible for making their own reservations directly with the Hotel’s Reservations Department at 888-33-SALEM. In the event that a reservation needs to be cancelled, please do so 72 hours in advance to avoid any penalties. Guests will not be able to book online for these specially contracted room blocks. Check in time is 3:00 PM. We highly suggest that guests arrive on the day prior if they need access to their guest room prior to 3:00 PM on the following day.
When do reservations for guest rooms have to be made to ensure the discount?
Your guests have 6 weeks prior to the wedding date to take advantage of the discount. Any rates made after the cutoff date will be booked at the Hotel selling rate.
Can I find out who has booked their room under my Wedding Block?
Certainly. At any time please feel free to contact the Sales Department at 978-619-1115. Our Sales Team can mail, fax or e-mail you a current list of information reflecting the names of your guests that have booked their rooms under you block. This list will also show you what room types they have booked, as well as their arrival and departure dates.
Do you allow pets?
We are a pet free establishment.
When can our guest check-in and check-out?
Check-in time is guaranteed after 3:00 PM. Check-out time is before 11:00 AM. Guests arriving early, we will provide a parking pass to park in the Hotel parking lot. The Front Desk will store luggage until guest rooms become available. We highly suggest that guests arrive one day prior if they need to access the room prior to 3:00 PM the day of the event. If you or a guest is switching rooms on any day, the check-in time is guaranteed after 3:00 PM.
Is there a fitness center?
Yes, our fitness center is available for you and your guests to enjoy. The hours of operation are 5:00 AM – 11:00 PM.
